Plouse machine shop wanted a better way to store invoices and po’s. Plouse machine shop printed all of their invoices and PO’s on a pre-printed carbon copy dot matrix form. Not only was the text hard to read, but the placement of the text on the form was typically not in the correct location on the form. Plouse would then file the forms into file cabinets for retreival at a later date. The order processing application in use was almost 15 years old and could not be upgraded. Plouse wanted a faster, accurate search and retrevial system outside of their existing accounting system.
We worked with Plouse machine to develop a 100% accurate system for retreiving invoices and purchase orders. We then developed workflow practices incorporating
a document management application and scanning hardware to transfer the printed documents into a keyword searchable database.
Not only were we able to provide Plouse with instant document retrevial, but we were also able to eliminate all of the expensive pre-printed, carbon-copy, three-part forms by designing a form that could be printed on their existing multi-functional printers.
